Urgent reminder-Follow ups

To All Reps:

I know we have a few new inspectors, so I am sending out this reminder to all.

Our main function is to Verify Occupancy and Condition of the property. Webster defines the word “Verify”: “to prove to be true; to confirm, to fulfil”. Our proof is in the photos.

We are receiving too many rechecks/pushbacks from our clients. I will outline below how you can help prevent having to go back to the properties.

1. The number one reason for follow ups is MISSING PHOTOS. Effective immediately, for ALL PNA CLIENTS requires the following minimum photos: 1)Front (full front), 2)Street Sign, 3)Street View, 4)Address (close up), 5)Occupancy Indicators, 6)Door hangers (in confidential envelope). If vacant-Vacancy Posting, Vacancy Cert, All Sides, A/C missing or present (if missing complete the damage report), meters. The ONLY EXCEPTION is SunTrust, they only require close up of Street Sign. Some of the clients show less photos required in the instructions, but then they come back because the front view does not determine occupancy. Always take the 6 basic photos for all occupied properties listed above.

2. If the inspection is ordered as an interior, then an interior inspection MUST be completed. Interior inspections require ALL of the photos listed above, and ALL Rooms, All appliances (water heater, furnace, and kitchen appliances, missing or present) If missing, then complete the damage report.

3. We never take photos of people. If people are in the yard, you must wait for them to move, or go back when no one is in the yard.

4. We always take photos of ANY DAMAGE, and complete the inspection damage report.

5. ALL forms, door hangers, vacant postings, vacancy certifications are Lender/Client specific. We receive inspections back daily with the wrong or missing postings.

6. If there is a PDF form or signature page attached to an inspection then it must be completed and sent in with the inspection. It must be legible, so scan it if possible. If you have to submit it as a photo, make sure you can read it. If you cannot read it neither can the client.

7. All Follow ups must be corrected within 24 hours.

Follow ups are a waste of time and money for all of us. The clients are not backing off of these requirements.
